What Apero runs on Grok Bot

Apero Advisors is a GTM engineering and revenue operations partner for PE- and VC-backed companies. Grok Bot is the scheduled operator. It runs daily jobs across the CRM, calls, Slack, and senders once those systems and their rules already exist.

Scheduled operator jobs across CRM, calls, Slack, and senders, on top of systems that already exist.

What we run on Grok Bot

Grok Bot runs the daily jobs an operator would otherwise forget. Briefs, post-call drafts, commitment checks, referral asks, and QA.

It sits on top of the systems. Clay, the Cursor-built apps, Salesforce, Lemlist, EmailBison, Fireflies, Slack, Gmail, and GitHub. It is not the system.

Example workflows

  1. 01

    Morning follow-up brief

    Trigger
Every morning, before the inbox wins.
    System
Grok Bot reads inbound leads, open deals that went quiet, and projects that still need a close from the connected CRM and email.
    Output
A prioritized brief with the underlying record and why each item needs attention.
    Operator outcome
Stale deals show up while they can still be saved, not at quarter end.
  2. 02

    Post-call follow-ups

    Trigger
    Yesterday's calls are in Fireflies.
    System
Grok Bot pulls the transcripts, matches each call to its Salesforce deal, and drafts a follow-up in the operator's voice.
    Output
Draft follow-ups for a human to send, plus a list of anything that stalled.
    Operator outcome
Follow-ups go out without the operator rebuilding the call from memory.
  3. 03

    Slack commitment check

    Trigger
Daily or on a weekly review cadence.
    System
Grok Bot reads Slack for promises the operator made and checks whether they were closed out.
    Output
A short list of open commitments.
    Operator outcome
    Accountability without another dashboard.
  4. 04

    Referral mining

    Trigger
A customer network is worth walking for warm paths.
    System
Grok Bot walks customer networks using job posts, graph overlap, and ICP score.
    Output
Referral asks that match a motion the team already knows how to sell.
    Operator outcome
Warm introductions get asked for on purpose instead of by accident.
  5. 05

    Campaign and list QA

    Trigger
Before a campaign goes live, and on a recurring check.
    System
Grok Bot inspects Clay tables, EmailBison campaigns, and CRM Health definitions (orphans, incomplete records, persona gaps).
    Output
An exception list tied to the definitions in those systems, not a vague 'go clean it' prompt.
    Operator outcome
List and campaign problems get caught against written rules.
  6. 06

    Hiring-signal bot

    Trigger
A closed-lost deal needs watching for a reason to reopen.
    System
Watches closed-lost deals for hiring signals and flags when a lost account starts hiring for roles that suggest they are ready to buy again.
    Output
A flag on the lost account when those hiring signals appear.
    Operator outcome
Lost accounts surface again when hiring suggests readiness to buy.
  7. 07

    CRM review app

    Trigger
    Every Monday.
    System
A custom CRM helper app runs every Monday to review CRM data.
    Output
A weekly CRM review from that helper app.
    Operator outcome
CRM data gets a scheduled weekly pass.
  8. 08

    Campaign drafting from SOPs

    Trigger
A campaign needs copy and the list-pull, segment, and first-line SOP is written in the repo.
    System
Grok Bot drafts campaign copy only when that SOP already lives in the repo.
    Output
Draft campaign copy tied to the written SOP.
    Operator outcome
Campaign drafting follows documented list and segment rules.
  9. 09

    Unmerged PR review

    Trigger
Open pull requests sit on the GTM codebase.
    System
Grok Bot reviews unmerged PRs on the GTM codebase.
    Output
A review pass on open GTM PRs.
    Operator outcome
Open GTM changes get a scheduled look.
  10. 10

    Internal proposal pages

    Trigger
Internal proposal pages need to stay current.
    System
Grok Bot keeps internal proposal pages current as part of repo and proposal chores.
    Output
    Updated internal proposal pages.
    Operator outcome
Proposal pages stay aligned with the live GTM repo.

How we set it up in your environment

Access
Grok Bot only does what its connections allow. At Apero it is connected to tools like Gmail, Slack, Google Calendar, Fireflies, Salesforce, Clay, Lemlist, EmailBison, and GitHub. If you want help standing up Grok Bot, Duet, Dots, or Muse inside your environment, that setup is an option we offer. Connections are scoped to the systems the jobs need.
Change control
Jobs run against SOPs, playbooks, and definitions that live in the repo. Campaign drafting only happens when the SOP for list pull, segment, and first line is written down. Grok Bot also reviews unmerged PRs on the GTM codebase.
Documentation
The rules Grok Bot checks against (CRM Health definitions, reply playbooks, ICP files) are documented in the systems it calls, so the job and the rule can be read side by side.
Handoff
Drafts stay drafts. A human sends follow-ups. Operators are trained on which jobs run, when, and what each one reads. Client's choice: Apero builds in the client's accounts and repos, or in Apero's.

What Grok Bot does not replace

  • Replacing a data model. If the CRM fields and the ICP are not defined, there is nothing for a job to check.
  • Replacing a sequencer. Grok Bot does not replace EmailBison, Lemlist, or Clay tables.
  • Teams with no APIs or SOPs in place yet. It runs jobs when APIs, CRM fields, and SOPs already exist.

FAQ

What does Grok Bot automate in GTM engineering?

At Apero, Grok Bot runs scheduled jobs: a morning follow-up brief on inbound and open deals, Fireflies calls matched to Salesforce deals with draft follow-ups, Slack commitment checks, referral mining on customer networks, QA on Clay, EmailBison, and CRM Health, a hiring-signal watch on closed-lost deals, a CRM helper app that runs every Monday to review CRM data, campaign drafting when SOPs exist in the repo, and unmerged PR review on the GTM codebase.

Does Grok Bot replace Clay or a sequencer?

No. Grok Bot is the scheduled operator across those systems. It does not replace Clay tables or EmailBison. It runs jobs when APIs, CRM fields, and SOPs already exist.

Does Grok Bot send emails on its own?

Follow-ups are drafted for a human to send. The pattern across Apero's systems is drafts plus approval, not auto-send.

When should a team use Grok Bot instead of Clay or Cursor?

Clay is for research, scoring, and enrichment at list scale. Cursor or Claude Code is for durable software. Grok Bot is for when an operator needs a daily copilot across email, CRM, Slack, and calls, and the playbooks already exist.
