What Apero builds in HubSpot
Apero Advisors is a GTM engineering and revenue operations partner for PE- and VC-backed companies. Apero builds HubSpot so it mirrors how the team actually sells, then connects the dialer, the senders, and the system of record to it so activity and deals land in one place.
System of record for accounts, contacts, deals, and activity when the client runs on HubSpot. Evidence: Environmental services company (name withheld): HubSpot stood up from scratch and wired into a legacy platform, with Nooks calling and board reporting from the same records.
What we build in HubSpot
The CRM comes first. Stages, owners, and next steps that mirror how the team sells. Then the dialer, the senders, and any system of record get wired in so the activity lands on the same record as the deal.
The published example is an environmental services company (name withheld). No CRM, sellers on the road, and a board pack that took most of a week in Excel. HubSpot went in on top of their own platform.
Example workflows
01
Stand HubSpot up on a legacy system of record
- Trigger
- A company has years of records in a platform it hosts itself and no CRM the sales team can work from.
- System
- HubSpot is modeled for how sales works and synced to the existing store. A change in the dialer shows up in HubSpot, then in the legacy platform.
- Output
- One set of records that sellers, the dialer, and leadership all read.
- Operator outcome
- In the published environmental services study, the board pack stopped being a week in Excel.
02
Put dialer and email activity on the record
- Trigger
- SDRs call and email from tools that do not talk to the CRM.
- System
- Nooks for calling, plus the email and LinkedIn channels, write activity into HubSpot against the right contact. Contact data is cleaned so reps call named buyers instead of switchboards.
- Output
- Calls, meetings, and handoffs to outside sales visible on the same deal.
- Operator outcome
- A win can be traced back to the cold call, including deals that close later in the field.
03
Board reporting from live records
- Trigger
- Leadership needs a weekly board pack and a forecast.
- System
- Activity, meetings, capacity per seller, and targets are generated from the same HubSpot records sellers use.
- Output
- A board pack and forecast that do not need to be rebuilt by hand.
- Operator outcome
- Leadership can say how many salespeople a given amount of pipeline takes.
04
Guarded AI writes into the CRM
- Trigger
- Enriched or classified records are ready to load.
- System
- Before anything goes into HubSpot, agents check each record: is the classification backed by a reason, is confidence high enough, does the LinkedIn profile match, would this overwrite something the team entered? A human approves a preview before each batch.
- Output
- Batches loaded with a reviewed preview and the edge cases called out.
- Operator outcome
- The CRM gets fuller without silently overwriting the sales team's work.
05
Keep research out of the CRM until it earns a row
- Trigger
- A TAM or research list is far bigger than what sales should see.
- System
- The account universe lives in a Pre-CRM store or a side database. Accounts move into HubSpot only when someone is worth a row.
- Output
- A CRM with accounts that have a reason to be there.
- Operator outcome
- Reps are not wading through a database export inside HubSpot.
How we work in your HubSpot portal
- Access
- Access is a user or private app scoped to what the motion needs. Ideally each person's API key or MCP connection mirrors their own permissions.
- Change control
- Bulk writes go through a preview and a human approval. Write access for an agent waits until there is a rollback: save contact state before enrichment, keep the write key separate, and make it confirm twice. Integration code lives in a repo, not only in workflow settings.
- Documentation
- A coding agent walks the workflows, properties, and other data and config in the portal and writes agent handoff instructions, so your team or your own agents can maintain what was built. Stages, owners, fields, and sync rules stay next to the code that enforces them.
- Handoff
- The portal is yours. We train the team that runs it, and integration code is handed over with the rest of the repo.
When HubSpot is not the right call
- Heavy agent-driven admin. Benyamin (Ben) Holley, Apero's Head of GTM, finds that HubSpot still makes you click for things the Salesforce CLI lets an agent do.
- Using the CRM as a research warehouse. Big TAMs stay outside it until accounts are worth a row.
- Rebuilding a working instance for the sake of it. If HubSpot already mirrors the sales process, we wire into it.
FAQ
Can Apero integrate HubSpot with a legacy system we host ourselves?
Yes. The published environmental services study (client name withheld) is HubSpot stood up from scratch and wired into a long-running custom platform, with Nooks calling and email on top and board reporting from the same records.
What results came from the HubSpot environmental services build?
Published metrics from that study include more than 7,500 calls per week at a connect rate above 7.5%, with the weekly board pack and forecast generated from the same stack.
Does Apero prefer Salesforce or HubSpot?
Apero works in both. Benyamin (Ben) Holley, Apero's Head of GTM, prefers Salesforce when Claude Code is in the loop because its CLI reaches almost the whole platform. When a company already runs HubSpot, Apero builds on HubSpot.
How does Apero stop AI from corrupting HubSpot data?
Agents review each record before it loads, a human approves a preview for every batch, and write access waits until there is a rollback path.
